Job Purpose
- To provide effective and efficient administrative support for Healthwatch as directed by the Project Lead.
- To support the Healthwatch Chair and Board members in preparation of both internal and external meeting. Including papers, diary management and liaising with partners on their behalf where necessary.
- To provide support for outreach, engagement and volunteering work, assisting Healthwatch to achieve overarching engagement objectives and targets.
- To support PR and marketing opportunities to increase the awareness and visibility of Healthwatch across County Durham and the region with communities and stakeholders.
- To contribute to the performance targets and milestones in-line with commissioner, funder and PCP expectations.
Job Description
- To maintain databases and CRM system to support the effective delivery of services.
- To organize HWCD Board and team meetings, preparing papers and distributing, booking rooms and taking minutes.
- To minute key meetings and co-ordinate the production and distribution of correspondence, reports and papers as required for internal and external meetings in a timely manner.
- To provide support for outreach, engagement and volunteering work to promote Healthwatch, ensuring risk assessments have been completed and appropriate facilities used, adhering to PCP policies and procedures. To include technical support such as presentations.
- To establish and operate an appropriate filing and information systems including the handling of sensitive and confidential information in line with PCP’s policies and procedures.
- To deal with enquiries in a professional, courteous and prompt manner including Information Signposting, complaints, comments and compliments following the correct procedure at all times.
- To assist with increasing website hits, social media feeds and the number of individuals/organisations registered to receive regular e-bulletins/newsletters.
- To assist with risk assessments in relation for venues used for meetings and events.
- To ensure that all work tasks are completed to the agreed schedules and deadlines.
- To support and maintain relationships by attending external events and promoting the work of Healthwatch as required.
- Carrying out a range of administrative functions including processing mail and ordering and distributing office supplies and publicity materials
- Lead on the purchasing and distribution for office and publicity materials.
General

- To assist marketing and engagement work and use creative techniques to gather views from the communities we support.
- To actively take responsibility for your own Health & Safety and ensuring procedures are adhered to.
- To carry out all responsibilities in line with the organisation’s Equality & Diversity Policy.
- To undertake any training and development deemed appropriate.
- To undertake any such duties required by your Line Manager or PCP Senior Manager.
